Jefferson Radiology Deploys Just Associates’ Repair™ for Ongoing MPI Maintenance

Remote management service improves data integrity by speeding identification, elimination of duplicate and overlaid patient records

CENTENNIAL, Colo. – Nov. 26, 2012 – Just Associates, Inc., a consulting firm specializing in data integrity and data quality solutions for healthcare organizations, announced today that Jefferson Radiology will deploy its Repair™ remote master patient index (MPI) management service.

Part of the firm’s comprehensive outsourced patient identity management suite, Repair leverages Just Associates’ highly trained staff and proprietary IDMaster® Duplicate Workflow Software for cost-effective ongoing management of the duplicate validation and reconciliation process. Jefferson Radiology will rely on Repair to maintain the integrity of its patient database, which contains approximately 750,000 records as well as an additional 26,000 referring provider entries.

“Data integrity is Just Associate’s core business. As such, we are confident they have the expertise to deploy effective record-matching, duplicate elimination and audit processes to ensure the integrity of our patient database,” said Michael Quinn, CTO, Jefferson Radiology. “Repair also eliminates the need for us to dedicate internal resources, which are better utilized elsewhere, to the complex task of reconciling duplicate patient records.”

Based in East Hartford, Conn., Jefferson Radiology is the largest radiology private practice group in Connecticut and includes 10 private offices and affiliations with seven regional hospitals. Its fellowship-trained physicians are supported by a sophisticated business and technological infrastructure and offer the full spectrum of diagnostic imaging and interventional services. This includes cardiovascular, neuroradiology, oncology, pediatric, orthopedic imaging and women’s services.

Utilizing Repair provides Jefferson Radiology with several significant benefits over internal MPI management, including:

  • An experienced team providing efficient duplicate validation and resolution seven days a week
  • Ongoing monitoring to prevent new duplicates and other issues from negatively impacting data integrity
  • Elimination of backlogs, overflows and staffing challenges, such as turnover and leave time, that impact productivity levels
  • Significant cost savings or cost-neutral expenses by eliminating the need to  recruit, train and retain qualified internal staff
  • A more accurate count of unique patients to accelerate compliance with several key meaningful use criteria

“A duplicate-free patient database is crucial to Jefferson Radiology’s ability to provide quality care,” said Beth Just, MBA, RHIA, FAHIMA, Just Associates’ CEO and president. “By leveraging Repair and our data integrity expertise, Jefferson Radiology ensures its clinicians have continuous access to accurate patient information, eliminating unnecessary costs and enhancing patient care and safety.”

Just Associates Launches Data Integrity Optimization Service for Epic Identity Users

Epic Identity Optimization, featured by Just Associates during AHIMA, enhances system configurations to increase true duplicate identification, reduce false positive rates and improve overall data integrity.

CENTENNIAL, Colo. – Sept. 28, 2012 – Just Associates, Inc., a consulting firm specializing in data integrity and data quality solutions for healthcare organizations, announced today the launch of Epic Identity Optimization, a new service focused on improving data integrity and master patient index (MPI) management within Epic systems.

Specifically, the service optimizes Epic Identity’s out-of-the-box configurations to enhance system performance, increasing true duplicate identification and reducing false positive rates. Just Associates’ team of experienced data integrity specialists also provides guidance on how Epic users can more efficiently maintain the long-term accuracy of patient data within the MPI.

“Just Associates possesses an in-depth understand of Epic, which allows them to be innovative in their approach to improving data integrity by optimizing Epic Identity and helping us leverage other tools we already have,” said Mary Reeves, Administrative Director, Medical Information Services, Vanderbilt Medical Center.

Adds Grant Landsbach, RHIA, Data Integrity/MPI Manager, Sisters of Charity of Leavenworth Health System: “By customizing the Epic Identity module, Epic Identity Optimization reduces the burden of unnecessary duplicate matches so our resources can be focused on validating and reconciling true duplicates. It also streamlines workflows and customizes duplicate matching logic to our specific patient mix.”

Just Associates’ team of data management experts optimizes the performance of Epic Identity in the client environment, in part by:

  • Defining standard routines for patient searches and improving the accuracy with which the appropriate patient is located
  • Determining optimal high and low thresholds to reduce the number of false positive matches identified within the system
  • Utilizing demographic change reports to assist in early identification and correction of patient overlays
  • Building special work (error) queues to bucket different types of errors for efficient resolution

“For years, we have worked with Epic clients to more effectively manage their MPI and reduce the number of duplicates within their system. It is through these relationships that we have developed a keen understanding of Epic Identity and the many ways it can be used to effectively and efficiently improve data integrity,” said Just Associates CEO and President Beth Just, MBA, RHIA, FAHIMA. “Our Epic Identity Optimization service lets us show hospitals how to leverage existing MPI management tools to maximize the accuracy of their patient information for significantly improved clinical and administrative performance.”

Please join ADVANCE Healthcare and Just Associates at 1 p.m. ET on Oct. 23, 2012 for “Minimizing Duplicates Patients in Epic Identity,” a free webinar created specifically for Epic users. Presented by Karen Proffitt, RHIA, CHP, MS, the webinar will help attendees understand the causes and ramifications of “dirty” MPI data and share ways to optimize Epic Identity. Attendees will be automatically entered to win a free Epic Identity duplicate detection performance assessment. Click here for more information or to register.

Just Associates Celebrates a Decade of Mastering Patient Identity, Improving Data Integrity

CENTENNIAL, Colo. – June 18, 2012 – Just Associates, Inc., a consulting firm specializing in data integrity and data quality solutions for healthcare organizations, is celebrating a decade of delivering to hospitals and healthcare organizations the innovative services and solutions that drive quality care by mastering patient identity and improving data integrity.

Established in 2002 by Beth Just, the consulting firm is dedicated to meeting the data integrity needs of the health information exchange (HIE), health information management (HIM), health informatics and health IT markets. Launched at a time when enterprise master patient index (EMPI) systems were just starting to appear on the market and adoption of clinical information systems was limited, Just and her small team of passionate professionals recognized the impact duplicate and overlaid patient records would have on the efficacy of these systems.

“We realized early on that EMPI, EHR and other clinical information systems could not deliver the promised quality, safety and efficiency outcomes if data integrity was compromised,” said Just, MBA, RHIA, FAHIMA, the firm’s president and CEO. “These systems also lacked the sophisticated algorithms to accurately match inbound data with existing patient information, which exacerbated the situation by facilitating creation of new duplicates.”

Armed with deep experience in master patient index (MPI) cleanups, technical sophistication and a passion for providing high-quality services that deliver superior value, Just Associates quickly established itself as a leader in MPI management. Over the past 10 years, it has grown to include more than 70 highly trained professionals and amassed a client list that includes many of the nation’s most prestigious healthcare institutions.

“We have experienced firsthand Just Associates’ dedication and exceptional customer service,” said Barb Manor, MA, RHIA, senior director of HIM, Sisters of Charity of Leavenworth Health System. “They tackle every challenge with determination, peeling back the layers to find and eradicate the source of data integrity issues. They also design innovative, long-term solutions and governance processes to ensure that the data we rely on to provide our patients with safe, high-quality care remain uncompromised. They have earned their reputation as an industry leader.”

The firm works with nearly every vendor solution and delivers services encompassing every aspect of data integrity, including MPI cleanup, data migration, and patient access training and consulting. Other services include HIE and EMPI consulting, such as requirements definition, testing, record linking and matching, data mapping, cleanup and maintenance. Software vendors turn to Just Associates for its expertise in optimizing record-matching algorithm performance.

Most recently, Just Associates launched IDMaster®, its proprietary duplicate record workflow software. It also pioneered outsourced MPI management with Repair™, its customized patient identity management service that provides hospitals with a more efficient duplicate record resolution process that overcomes staffing and other resource challenges. Business intelligence tools also identify areas of weakness where additional education or process adjustments can help prevent duplicate creation on the front end.

“We uncover the root causes of data integrity issues and provide guidance on the governance necessary to ensure it stays that way,” said Just.

Maintaining data integrity is more complex and critical now than it was a decade ago, thanks to the increased prevalence of computerized physician order entry (CPOE), EHR, EMPI and other clinical information systems. As more of these systems are interfaced, higher volumes of data flow between patient records and clinical, administrative and financial systems. An error at any point quickly snowballs as the information travels from one system to the next.

“It’s not just a domino effect. It’s exponential. Inaccurate data captured in one system can feed into as many as 50 others before it is detected … if it ever is detected,” said Just. “That is why Just Associates continues pushing its clients to higher levels of data integrity by delivering the innovative services necessary to ensure the information upon which care decisions are based is accurate, regardless of where it enters the system.”
